A carrier can do a lot with a good freight description, but “two pallets from Sydney to Melbourne” still leaves plenty to work out. The useful details are the ones that help a transport provider picture the actual job. Let’s take a closer look at what that entails.

1. Give Accurate Freight Details, Weight and Dimensions

Start with the basics, but be specific. A carrier needs to know what is actually going on the truck, not just that it is “general freight” or “machinery”.

Say what you're moving and how many pieces there are. For palletised freight, include the number and size of the pallets. For machinery or equipment, name the type and include the model where it helps.
Give the weight of the load, and individual weights if the pieces vary significantly. If you're working from an estimate, let the carrier know.
Include the length, width and height of the freight. If you're sending several different items, give the measurements for each rather than one rough overall figure.
Mention how the load is presented for transport (palletised, crated, bundled or loose) and whether it can be stacked or needs to stay upright.
Don't leave out the awkward bits. Attachments, overhangs, long sections or protruding parts can make a difference to how a load is transported.

For example, “8-tonne machinery” tells a carrier relatively little. An “8-tonne excavator measuring 7.2 m × 2.5 m × 3 m, with attachments fitted” gives them a much better idea of what they're dealing with.

2. Provide Pickup and Delivery Details Including Access

The street address is only part of the picture. A carrier also needs to know what the truck will encounter when it arrives, particularly at farms, construction sites, warehouses and residential properties.

For both pickup and delivery, mention anything that could affect access:

Site and approach: Is it a warehouse near Port Botany, a distribution site around Truganina, or a farm outside Toowoomba? Note gravel or unsealed roads where relevant.
Getting to the load: Tell the carrier if the final approach involves a narrow rural road, a tight turn into a property, a steep driveway, a low bridge or a gate that limits the vehicle's entry. If you know the site is unsuitable for a larger combination, mention it.
Site arrangements: Mention security check-in, booking requirements, restricted delivery hours or other procedures, particularly at ports, warehouses and distribution centres.
Room to load: Is there a loading dock, hardstand, crane or forklift? Can the truck and trailer get into position without needing to reverse a long distance or unload from the road?

If access is difficult to describe, send photos of the approach, entrance, loading area or any tight spots. A photo of a farm gate, site entrance or restricted loading area can give a carrier useful information before they arrive.

An accurate freight weight is important where the information is available. Guessing or significantly understating the weight can affect vehicle selection, load placement, axle loading and load restraint, and may mean a transport provider cannot safely or legally undertake the movement. If the weight is estimated rather than confirmed, make that clear when requesting the freight quote.

3. Explain How the Freight Will Be Loaded and Unloaded

A carrier may have the right truck for the load, but that does not necessarily mean the freight can be picked up as planned. A pallet coming out of a warehouse with a forklift is very different from a piece of machinery sitting on a farm, where a crane may be needed to get it onto the trailer.

When requesting a freight response, explain what is available at both ends of the trip. For example, let the carrier know if there is:

A forklift or crane, including its capacity where relevant
A loading dock, hardstand, ramp or ground-level access
Side or rear loading requirements
A tailgate or other lifting equipment needed
Manual loading or unloading
Driver assistance expected at either site

Also make it clear who is arranging the loading and unloading and whether there are any particular requirements for securing or handling the freight.

If the pickup is at a Melbourne warehouse but delivery is to a construction site in regional NSW, for example, don't assume the same equipment will be available at both locations. Giving the carrier that information upfront allows them to assess whether their equipment and operating arrangements are suitable for the movement.

4. Explain When the Freight Needs to Move

For many Australian freight movements, the date is only part of the requirement. A site booking, depot receiving window or port/terminal slot can determine when a truck can actually load or deliver.

When requesting a freight quote, tell the carrier:

The preferred pickup and delivery dates
Any fixed delivery or collection slots
Site opening and closing times
Whether the load needs to move on a weekend or public holiday
Whether the delivery is time-critical or the dates are flexible

For example, “pickup Tuesday” is very different from “pickup Tuesday between 8 am and 10 am because the site closes at 11 am.” The same applies to a container movement where a terminal or depot has a booked slot.

If the date or time can move, say so. That flexibility may give a carrier more options when planning the run. If it cannot, make that clear from the start so the response can be assessed against the actual delivery requirement rather than an assumed schedule.

5. Flag Special Equipment, Handling or Freight Requirements

Not every load is a straightforward pallet job. If you're moving a reefer load, a container out of Port Botany, machinery to a regional site or an oversize piece of equipment, give the carrier a heads-up before they assess the job.

Freight	What the Carrier Will Want to Know
Machinery	Weight, dimensions, whether it's operational, attachments and how it will be loaded
Refrigerated freight	What is being moved, required temperature, packaging and delivery timing
Containers	Container size and type, loaded or empty, pickup location and how it will be handled
Oversize or overmass loads	Exact size and weight, configuration, access and any known permit or route requirements
Dangerous goods	What the goods are, their classification, quantities and relevant documentation
Vehicles	Vehicle type, dimensions, whether it is driveable and how it will be loaded
Fragile or high-value freight	Packaging, handling, security and any particular delivery requirements
Long or awkward loads	Overall length, weight, overhang and how the load will need to be secured

The reason for being upfront is simple: the freight itself can determine the type of transport that is suitable. A refrigerated load has very different requirements from a palletised shipment, while an oversize movement may need route planning, permits or other controls before it can travel.

Australian requirements can also come into play. Depending on the movement, this may include load restraint, Chain of Responsibility (CoR), dangerous goods requirements or oversize/overmass rules. The shipper should provide accurate information and relevant documents, while the transport provider assesses whether the equipment and arrangements are suitable for the movement.

Freightland's role is to bring the shipper and transport provider together through its marketplace, rather than to act as the carrier or take on their operational responsibilities.

6. Add Photos and Supporting Documents Where They Help

A photo is useful when the written description doesn't tell the whole story. For example, if a machine has an unusual attachment, a load has an overhang, or the truck needs to get through a tight farm gate or site entrance, include a photo rather than leaving the carrier to guess.

For site access, photos of the driveway, gate, loading area, low clearance or tight turn can be particularly useful. For the freight itself, show the load as it will actually be presented for transport.

Where relevant, include supporting information such as freight specifications, drawings, packing lists, site instructions or dangerous goods documentation.

Photos are additional information. They are not a replacement for the basics. The carrier still needs accurate weight, dimensions and other required details to assess the movement properly.

What if You Don't Know What Equipment the Freight Needs?

It is common for a shipper to know what needs to move without knowing whether the job calls for a tautliner, flatbed, low loader or another type of trailer. You don't need to work that out before requesting a freight quote.

Give the carrier the information you do know, such as:

What the freight is
Its weight and dimensions
How many pieces there are
Where it is being picked up and delivered
How loading and unloading will be handled
When it needs to move

Mention anything out of the ordinary, such as difficult access, oversize dimensions or temperature requirements.

The transport provider can then use those details to work out what equipment and arrangements may be appropriate. Through Freightland's marketplace, customers can provide the job details and connect with transport providers who can assess the movement.

Why Complete Freight Information Matters

As a shipper, you don't have to know which truck or trailer will do the job, but the carrier does need enough information to work that out. If key details are missing, they may have to make assumptions about the load, access, loading arrangements or delivery window.

Those assumptions can cause trouble once the truck is on the road.

A B-double may not be suitable for the final approach to a regional property, a site may not have the crane or forklift needed to unload the freight, or a container delivery may miss a booked depot or terminal window. If the actual load turns out to be heavier, larger or harder to access than described, the carrier may need to change the equipment or arrangements, or decide they cannot undertake the movement.

The aim here isn't to provide every possible detail but to give the carrier an accurate picture of the actual movement, so their response is based on the job they are being asked to do rather than assumptions.

Request Freight Responses Through Freightland

The better the freight requirement, the easier it is for transport providers to work out whether the job suits their operation and provide a freight quote. Freightland Carriers Australia gives shippers a place to put that requirement in front of registered transport providers and consider the responses they receive.

Rather than Freightland deciding how your freight should be moved, the transport providers assess the job themselves and determine whether they can accommodate it. That keeps the marketplace focused on connecting the two sides and gives customers a practical way to seek transport options for their particular movement.

Have a load to move? Post your freight requirement through Freightland and start comparing carrier responses.
